Certainly, working from home model provides many obvious benefits, such as absence of the need to commute to the workplace, less overhead and operating costs, and businesses being allowed to hire anyone based on their skills regardless of their country of residence.

However, employers and employees are also facing challenges while working remotely. A lot of workers are struggling to adapt to their new workplace reality. There also exists issues of inefficient communication and poor overall organisation of the workforce. These factors can lead to a drop in employees’ motivation and job satisfaction, which negatively affects the overall performance of your businesses. Take active responsibility in your employees’ well-being

Upper management should pay attention to the fears and anxieties of their employees and effectively address them to the best of their ability. During times of uncertainty, it is recommended that you show your empathetic side and support your employees as peers, instead of following the standard workplace hierarchy. In all communication, professional or otherwise, empathy should be an indispensable element. Show humanity and openly share your personal experiences. Before you can effectively interact in the virtual space, it is necessary to establish contact with each other. It is important to leave time for discussing informal issues, to expand your circle of support through friendly relations. In a time where people are physically surrounded by the same people (or no one at all,) good work relationships become even more integral in keeping your team motivated.

Regularly plan and coordinate work schedules and tasks

Setting tasks and monitoring their implementation remotely can be difficult. Before each working day, employees need to agree on a list of tasks, clear deadlines and mark the stages of implementation so that the work process is transparent. Keep in mind that it is important that you not only provide employees with the necessary equipment if they do not have it, but also develop rules and standards for remote work. Choose how, when and by what method you will set work tasks. Some managers send out a to-do list through workplace group-chat services like Slack, create corporate sites with functions for setting/ receiving tasks and schedule a video-call meeting every morning.

Consider employee control methods

There are different ways to control and motivate remote employees. Typically, employees are set quantitative and qualitative indicators (for example, KPI) or assigned specific volumes of work that are designed for a day, month, week or some other pre-specified period of time. We found that setting individual forms of performance and quality control for individual employees, or at least different metrics for different teams works well. This is because all employees are different, and this is especially true of personal mental health during the lockdown. The main thing is to provide employees with technical tasks in a timely manner and set deadlines, so that there are tangible goals to work towards.

Regulate the methods and terms of communication

Feedback on work will play a huge role in shaping how your business will move forward, so you must decide how you will give feedback. The right communication will allow your team to know if work is progressing in the right direction, and you will understand how to ensure discipline and consistency in remote employees. Set clear rules on what days and at what time employees will communicate with each other, both with you or other leaders. For example, organise video meetings twice a week, discuss successes, stages of work, remind your team of deadlines for assignments and share tips. Effective communication will allow you to clearly control the work of your team and to develop a sense of self-responsibility in your employees.

Provide access to corporate services

Employees should have access, from a personal or corporate laptop, to all the services with which they worked in the office: this includes CRM, databases, document management systems, corporate mail and so on. They should also have access to softwares that aid in remaining connected in a remote work environment, like a cloud service for video conferencing. As a leader, it is your responsibility to create such accounts in time and distribute them to employees. Timely and efficient leadership decisions are key in navigating through these uncertain times, and will either make or break your business’ future in a post COVID-19 world.
